Invoice status options

Track invoice statuses to keep your team aligned on progress and payments.

Updated over a year ago

Status options enable you to monitor and the track progress of your invoices. By using the status options across the organisation, it become an easy way for any of your team to know the current status. Status options are a reportable field, allowing you to create reports and actionable insights.

Draft

This is the initial status when an invoice is created and being prepared by the author. Draft status can be used when an invoice is being reviewed or circulated within your organisation prior to being sent to your client.

Submitted

When an invoice has been submitted for internal review*.
When a invoice is in a Draft or Submitted status and is sent to the client from Wiplist, the status will automatically change to Open.

If you don't need the submitted status for internal reviews, it can be repurposed to suit your individual, or organisation requirements.

Open

When an invoice has been sent to your client for review, processing and is awaiting payment. If a client has made a partial payment, the invoice will remain Open until the balance has been paid.

Paid

The invoices has been paid in full, this status can come from a manual update of a payment record, or automatically synced from your accounting integration acknowledging a payment.

Voided

The invoice has been voided internally and is now immutable, so it can no longer be edited, or restored. This will also apply to invoices synced through your accounting integration.
